Terms & Conditions

This page describes the terms under which Anna Soma LLC (Anna Soma, a Colorado-licensed therapist) provides therapy services and operates this website. Reading and understanding these terms is part of beginning therapy. If you have questions about anything below, ask before scheduling your first session.

1. About this practice

Therapy services are provided by Anna Soma LLC, a Colorado limited liability company, through Anna Soma, a Licensed Professional Counselor (LPC) licensed by the State of Colorado. The practice is based in Boulder, Colorado, and offers telehealth sessions. In-person sessions are available by arrangement only.

2. Scope of services

Anna provides psychotherapy — talk therapy, somatic therapy, dance/movement therapy, and Sensorimotor Psychotherapy — to adults and couples. Sessions help with anxiety, trauma, depression, life transitions, relationship difficulties, perinatal experiences, and related concerns.

Who Anna can work with. A free initial consultation is open to anyone, anywhere — it is a conversation about fit, not therapy. For ongoing therapy, what matters is where you are physically located during sessions:

  • In Colorado — in person in Boulder, or online. (Anna is licensed in Colorado.)
  • Another U.S. state — because U.S. counseling licensure is state-based, Anna can take on clients located in another U.S. state only where she holds that state’s license or a valid interstate privilege. Additional U.S. states may be added as licensing permits; if that’s you, ask and Anna will help you find a referral.
  • Outside the U.S. — available by arrangement, depending on the law of your country and practical logistics (see §5).

Anna confirms your physical location at the start of each session.

What this practice is not:

  • Not medical care. Therapy is not a substitute for medical or psychiatric treatment. Anna does not prescribe medication, diagnose medical conditions, or provide medical advice.
  • Not crisis intervention. This practice is not staffed for acute mental health emergencies. See §10 (Crisis & emergency policy).
  • Not legal advice. Therapy is not a substitute for advice from an attorney in any legal matter, including custody, divorce, or workplace disputes.

3. Confidentiality and its limits

What you share in therapy is confidential. Anna will not share information about your sessions without your written consent, except in specific situations required by Colorado law:

  • Suspected abuse or neglect of a child, elder, or at-risk adult — Anna is a mandated reporter under C.R.S. §19-3-304 (child abuse) and C.R.S. §26-3.1-102 (at-risk adults). Anna must report reasonable suspicion to Colorado Department of Human Services or local law enforcement.
  • Threat of serious harm to self or others — if Anna believes you present an imminent danger to yourself or another identifiable person, she may break confidentiality to protect that person, including by contacting emergency services or, in cases of threat to a specific other, warning that person (Colorado’s Tarasoff-equivalent duty under C.R.S. §13-21-117).
  • Court order — a judge may order Anna to testify or release records. Anna will resist such orders where ethically possible, but cannot guarantee confidentiality against a court order.
  • Insurance / billing audits — only if you choose to submit superbills to insurance (see §7), the insurer may audit records. Anna does not bill insurance directly.

For couples therapy, the confidentiality structure is different — see §4 below.

4. Couples therapy — special confidentiality terms

In couples therapy, Anna’s client is the relationship, not either individual partner. This means:

  • No-secrets policy. Anna does not keep secrets shared by one partner from the other. If you tell Anna something privately (by phone, text, or in an individual session) that is relevant to the couples work, Anna will ask you to share it in joint session, or share it herself.
  • Records. Records are kept jointly; either partner can request the joint record but not the other partner’s individual record.
  • If the relationship ends. Anna cannot continue seeing either partner individually after couples therapy ends — that would be a dual relationship. She can refer each to a separate individual therapist.

5. Telehealth-specific terms

Anna provides telehealth sessions via a HIPAA-compliant platform.

  • Your responsibility for the technical setup. You provide a private space, a stable internet connection, and a device with a working camera and microphone. Anna cannot guarantee session quality if your connection is unstable.
  • Privacy on your end. Anna takes reasonable steps to ensure privacy on her end. You are responsible for ensuring no one is listening to your side of the session.
  • Recording is prohibited. Neither Anna nor you may record sessions (audio or video) without explicit written consent from the other party.
  • Cross-state telehealth. Anna is licensed in Colorado. She can see clients who are physically located in Colorado at the time of the session. If you are temporarily outside Colorado, tell Anna in advance — some states allow short-term telehealth across state lines, others do not, and Anna may need to pause sessions until you return to Colorado.
  • International sessions. Sessions with clients located outside the United States are available by arrangement, subject to the laws — including any data-protection rules — of the country you are in. Ask before scheduling.
  • Telehealth is not for crisis. Telehealth is unsuitable during an acute mental health emergency. See §10.

6. Cancellation and no-show policy

  • 48-hour cancellation window. Cancel or reschedule at least 48 hours before your session, by email or text. Cancellations within 48 hours are charged the full session fee.
  • No-shows. Missed sessions without notice are charged the full session fee.
  • Anna-side cancellations. If Anna needs to cancel (illness, emergency, holiday), she gives as much notice as possible and offers reschedule options. No fee is charged.
  • Repeated late cancellations. After three late cancellations or no-shows, Anna may discuss whether the current schedule is workable or whether referral to a different practitioner is appropriate.

7. Fees, payment, billing

  • Session fee: sliding scale $150–$250 per 50-minute individual session, set at intake based on your financial situation. Couples sessions are 80 minutes, sliding scale $200–$350 (see our fees for details).
  • Payment timing: payment is due at the time of service. Anna accepts Zelle, Venmo, personal check, and credit/debit cards. If paying via Venmo, set your account’s privacy mode to “private” so transactions are not publicly visible.
  • Late payments. Unpaid balances over 30 days may incur a $25 administrative fee per month outstanding.
  • Returned payments. Returned checks or failed card charges incur a $25 fee.

8. Insurance position

Anna is out-of-network with all insurance plans and does not bill insurance directly. You pay at the time of service.

Superbills available on request. A superbill is a receipt with the procedure codes and diagnosis your insurer needs to process an out-of-network reimbursement claim. Anna provides superbills monthly on request. Whether your insurer reimburses, and how much, depends entirely on your plan’s out-of-network mental health benefits — check with your insurer before assuming reimbursement.

Why out-of-network: insurance contracts require a mental-health diagnosis to be filed, often dictate session length and frequency, and can audit records. Many therapists, including Anna, choose to stay out-of-network to keep the work focused on you and your goals rather than on insurance requirements.

9. Federal Good Faith Estimate (No Surprises Act)

Under the federal No Surprises Act (effective January 1, 2022), you have the right to receive a Good Faith Estimate (GFE) of expected charges for therapy services if you are uninsured or choose not to use insurance.

  • What the GFE covers. An estimate of the cost of therapy services over a defined period (typically the calendar year), based on Anna’s session fee and your anticipated frequency of sessions.
  • When you receive it. Anna provides a GFE at intake or whenever you request one.
  • Dispute resolution. If your final bill is at least $400 more than the GFE for the same services, you have the right to dispute the bill through the federal Patient-Provider Dispute Resolution process at www.cms.gov/nosurprises or 1-800-985-3059.

The GFE is not a contract — it is an estimate based on what is known at the time. If your treatment plan changes, Anna will provide an updated GFE.

10. Crisis & emergency policy

This practice is not equipped to respond to acute mental health crises. Anna’s schedule does not allow same-day response to emergencies, and telehealth is unsuitable for high-acuity situations.

If you or someone you are with is in acute danger:

  • Call or text 988 — the national Suicide & Crisis Lifeline (also covers Colorado Crisis Services, consolidated into 988 in July 2025). 24/7, free, confidential.
  • Call 911 — for medical emergencies, active suicidal/homicidal intent with means, or imminent danger.
  • Go to your nearest emergency room — most hospitals have psychiatric crisis services.

Anna will follow up with you at the next available business day after a crisis event to coordinate ongoing care.

11. Communication outside sessions

  • Email: contact@annasoma.com. Anna responds to non-urgent email within 48 business hours.
  • Text: Anna accepts text messages, including clinical content, via standard SMS. Important: standard SMS is not HIPAA-encrypted; sending clinical content by SMS carries a real privacy risk, which Anna will explain at intake. If you prefer to avoid SMS for clinical content, raise it in session or by phone.
  • After hours. Anna does not provide after-hours therapy or crisis response by email/text. See §10 for crisis resources.
  • Social media. Anna does not accept friend/follow requests from clients on personal social media and will not respond to therapy questions via social media. The practice’s public-facing accounts (if any) are for general announcements only.
  • Privacy of email/text. Standard email and SMS are not HIPAA-encrypted. Be aware that anything sent by these channels may not be private. For sensitive content, raise it in session.

12. Termination and referral

You can end therapy at any time, for any reason, without explanation. Anna asks for one final session (or at minimum, one final exchange of messages) to close cleanly — to review progress, discuss next steps, and provide referrals if helpful.

Anna may end the therapeutic relationship if:

  • The work has reached its goals and continued therapy is no longer indicated.
  • Anna assesses that her expertise is not the right fit for your current needs, in which case she will provide referrals.
  • There is a serious boundary violation (threats, harassment, repeated nonpayment after good-faith attempts to resolve).
  • Anna becomes unable to practice (illness, retirement, relocation).

In all cases except imminent safety concerns, Anna gives at least 2-4 weeks’ notice and provides referrals to other licensed Colorado therapists.

13. Complaint process

If you have a concern about Anna’s professional conduct, the first step is to raise it directly with Anna — most concerns are resolvable in conversation.

If the concern is not resolved or if you prefer to file a formal complaint, you may contact:

DORA investigates complaints about licensed mental health professionals and can impose discipline up to and including license revocation. There is no fee to file a complaint.

14. Website privacy (Plausible analytics)

This website uses Plausible Analytics (plausible.io) to measure aggregate visitor numbers, page views, and referral sources. Plausible:

  • Does not use cookies. No tracking cookies are placed on your device by this site.
  • Does not collect personal data. Plausible does not track IP addresses across sessions, does not build cross-site browsing profiles, and does not share data with third parties.
  • Is GDPR/CCPA/PECR-compliant by design. The data collected is aggregate and anonymous.

If you submit the contact form, the information you provide (name, email, message) is sent to Anna’s email and is not stored by the website itself. Anna handles this information per the confidentiality terms in §3 (once you become a client) or as a routine business inquiry (if you do not move forward to therapy).

15. Records and HIPAA

Once you begin therapy, Anna keeps client records documenting session dates, treatment notes, billing, and correspondence. These records are governed by:

  • HIPAA (Health Insurance Portability and Accountability Act). Anna follows HIPAA standards for client records, including secure storage, restricted access, and required disclosures.
  • Colorado Mental Health Practice Act. State law sets additional requirements for record retention (typically 7 years after the last date of service for adult clients).
  • Your right of access. You can request a copy of your record at any time. Anna will provide it within 30 days unless there is a clinical reason to summarize rather than release verbatim notes.

A separate Notice of Privacy Practices (NPP) detailing your HIPAA rights as a client is provided at intake.

16. Governing law

These terms, and the therapy services provided under them, are governed by the laws of the State of Colorado, without regard to its conflict-of-laws rules. Anna Soma LLC is a Colorado limited liability company. Any dispute will first be addressed by good-faith discussion between you and Anna; any unresolved dispute is subject to the jurisdiction of the state and federal courts located in Colorado.
